How to Apply for a Temporary Resident Visa (TRV)

If international participants want to attend any meeting or conference in Canada, they need to apply for a TRV visa through the Canadian official visa website. This document works as a legal document for the person who wants to enter Canada for a temporary period.

However, getting a TRV doesn’t approve your entry to Canada; it depends on the immigration authority. Here, we’re going to discuss how to apply for a visa to attend a conference in Canada:

First, you have to gather all the required documents to apply for the visa. Such documents include a valid passport, a photograph in the required format, a bank statement or financial proof, an invitation letter from the host, an accommodation copy, etc.

Next, you have to apply for a visa using these documents. You can submit a visa through the IRCC website. Create your account on the IRCC portal, fill in the field with the required information, and upload all your documents there.

However, if you are not able to apply online due to physical disabilities or technical difficulties, you may apply on paper. In that case, you need to fill out the form and attach all the documents to apply for the visa.

Finally, after applying for the visa by submitting all your documents, you need to wait for the update on your visa since it can take time to decide on your application. So, we recommend you apply for the visa at least 12 weeks before the date of the conference.

Please note that any special code given by IRCC is for recognizing events or conferences, and it doesn’t guarantee your visa approval.

Electronic Travel Authorization (eTA)

Citizens of the visa-exempt countries don’t have to go through the visa application process. Instead, they need to apply for an Electronic Travel Authorization (eTA) for their visit. Visitors who have a valid Canadian passport, immigrants, and temporary residents do not need any eTA to join any conference, event, or expo in Canada.

To apply for an eTA, you need to visit the IRRCC website and provide your passport details, personal information, and a few security questions. This processing time for the eTA application shouldn’t take too long.

Once your eTA is approved, you will need to present your passport and eTA to the Canadian immigration officer upon arrival. Please note that even if you have an eTA, you are still subject to inspection by Canadian immigration officials and may be asked questions about your trip and the purpose of your visit.

Business Visitor to Attend the Conference

If you want to join any business meeting, conference, event, or trade show in Canada, you have to apply for a TRV visa or eTA, depending on your country and the purpose of your visit. Whether you’re applying for a Visa or eTA, you need to get an invitation letter for a business visit from the organization or host of the conference in Canada. The invitation letter should include the following details:

  • Name, address, and details of the invited person
  • Purpose of visit, e.g., Attending a nursing conference
  • Details of the person or organization that hosts the conference
  • The duration of stying of the person in the event or conference in Canada
  • The potential date the person intends to leave Canada

Minor Children to Visit in Canada

Children under 18 years old are considered a minor in Canada. They need to go through the same procedure to apply for a visit visa in Canada. That means they need separate visas and required documents to submit their application. Depending on the situation, minors need to prepare additional documents. Here are the details of that:

  • If the minor travels alone, he/she needs some extra documents such as a birth certificate, authorization signed by both parents, and the details of the legal guardian in Canada.
  • In the case of traveling with a single parent, the parents need to present a letter of authorization signed by the other parent along with the rest of the documents.
  • If the minor parents are separate or divorced but have custody of the minor, the visited parent needs to show copies of legal custody documents.
